This calculator uses a simple but effective formula based on real labour costs:

  • Weekly admin cost = number of staff x hourly cost x hours per week on repetitive tasks
  • Annual cost = weekly cost x 48 working weeks (accounting for leave and public holidays)
  • Recoverable savings = 75% of the annual cost, which is a conservative estimate based on what we've seen with clients implementing AI automation across email handling, document generation, and data entry workflows. At full potential, 90% is achievable for highly automatable processes.

The 75% figure is our conservative baseline. Some processes reach 90%+ recovery - the real number depends on your specific workflows and how much of your admin is genuinely repetitive. The calculator shows both scenarios so you can see the realistic range.
